SCENARIOS REGARDING RESIDENCY TRANSFERS
 

If you have recently moved to Ottawa from another branch or District, or you are new to hockey, please visit the following site where you can enter your address information to identify what association you belong to:

Player Transfers and Residency Ottawa Area
A house league player from District X living in association X1 would like to play with his friends within district X but in association X2 or would like to play out of District X to play in District Y and association Y1 Parents of House League players wishing for their child to play in an association other than their home association within the same district must do the following:
Approach their home association and declare their wish to have their child play with a different association (you may have to register, depending on policy);
  1. Complete a “House League Transfer” application and approach the Association they wish their child to transfer to and submit the “House League Transfer”, stating that they wish their child to play under the receiving association’s hockey program;
  2. The receiving association registrar is under no obligation to commit and will forward your Transfer Request Form to the receiving association president who will state whether they “Agree” or Disagree” to take this player:
    1. If the receiving association president agrees with the transfer, the receiving association registrar will process the player Transfer into the Hockey Canada Registry and wait for confirmation that the request has been granted;
  3. Once approved (granted) by the home association, the receiving association will contact the member’s parents to complete any necessary payment and get details on how to join on ice activities.
  4. If the transfer is rejected, the player must return to the home association.
 The transfer is only applicable to the current season. At the end of the season, the player must return to his/her respective home association.
 NOTE 1: Prior to a transfer being approved, both presidents must first ensure that the transfer will not affect their program (affect the size of teams or deny players from joining a program).
 NOTE 2: If the player wishes to transfer again next year, the same process must be repeated
 

Competitive try-outs and transfers
A player wishes to try-out with a competitive association within the home district. *IMPORTANT* - Register with your home association first and advise them that you will be “Trying-out”
Find out what the competitive association’s tryout schedule is, register and attend the sessions.
 In District B, the competitive associations are as follows:
  •  AA/A Leagues: Ottawa Sting
    • Players from Ottawa East
    • Players from Ottawa Center
    • Players from Canterbury
    • Players from Southend
    • Players from West End Hockey League (WEHL)
  •  B League
  •  B League
 NOTE: For additional information on the competitive programs, it is recommended that you contact either the applicable association president or association registrar who can answer your queries.
 
 
If the player wishes to play with a competitive team in a different district *IMPORTANT* - The player must first try-out with the home district competitive team and MUST be released by the home district competitive association
Secondly, a “Competitive Transfer Tryout” form must be completed which must be signed by the receiving competitive association, the home association and both district chairpersons before the player can step on the ice. If the player does not make that team, the player must return to the home association.
 
 

Inter District, Inter association (within district) or Inter branch moves

Moving within district, from another district or from another branch
A player [ermanently moves to your association from another Bytown association, from a different district within the Branch (District 9 to Bytown, or Nepean District to Bytown and your association.
If you are moving from another Ottawa association or from another branch or District, please visit the following site where you can enter your address information to identify what association you belong to:

Player must approach the new association and complete the “Attestation of InterBranch/Association Residency Form” document
The form must be accompanied by “Proof of Residency” documents as stated in the transfer policy below.

NOTE: You must read the “Domestic Player Transfer and Registration Policy”. It provides important information like Deadlines and required documentation that must be included when submitting the document.
 The above document is also a must read if the move is a result of a couple separating or divorcing and child custody might be an issue.

Ensure that all custody documents have been reviewed

 The receiving association will process the transfer request and advise the parents once the process has been completed. The player will then be able to step on the ice.

IMPORTANT: The Attestation residency form must be approved prior to the player stepping on the ice.
 
 
A player is moving to Ottawa from a different Province or Branch outside of HEO Minor Enter your new address in the “Address Look Up tool” and visit the displayed association’s website. Then: Should the player wish to tryout with a competitive team within their district, he must advise the home association and must wait until his Inter-Branch transfer has been finalized.
 

Moving in from the USA or from another country

Moving in from the USA

 Enter your new address in the “Address Look Up tool” and visit the displayed association’s website. Then:
The parent must approach the new association.  The association registrar will inform you of the following:
  • The parent must provide copies of the USA team release letter and a completed copy of the “USA Hockey TransferRelease form”.  The parent must also complete the "Parent/Team Acknowledgement Form"
  • The registrar must send the completed forms, proof of address and birth certificate information along with the USA team release form to the HEO HCR Administrator.  HEO will request the USA record and build the new HCR profile so the player can join the program.
NOTE: Regardless of the search results, the HEO Executive Director must be contacted and given the information for the transfer as instructed above.

Note: Should the player wish to try-out with a competitive team, advise him of his options (Which competitive association to go to), see Competitive Tryouts above.  However, the above process mut be competed first so a profile can be built in HCR.

 
 

Moving from Europe or other countries

 Enter your new address in the “Address Look Up tool” and visit the displayed association’s website. Then:
The parent must approach the new association.  The association registrar will then:
  • The registrar must first search the HCR to see if the player has ever been registered in Canada. If so, process a transfer request in the HCR
  • If no record exists, the registrar should build a new HCR record so the player can start the program.
NOTE: Regardless of the search results, the HEO Executive Director must be contacted and given the information for the transfer as instructed below.

NOTE: International transfers can take a while to be processed.  Parents should start this process as soon as they can.
